Terms and Conditions for Summer Camp Participation

1. Organizer. BC INT Limited is the Organizer of the event. BC INT Limited partners with educational institutions, travel agencies, venues, patrons and sponsors to provide best experience for the participants.
2. Costs. The organizer will only be responsible for paying participants’ tuition, arrangement of the concert, accommodation at Hotel in Warsaw and other cities as per proposed schedule and selected meals as indicated in the Schedule for 2020, as well as , scheduled sightseeing admission fees as per Schedule 2020 and transportation in Poland as scheduled by the organizer during the event. Any expenses other than the above listed as per point 2 will not be included in the event fee.
3. Attendance. No participant is allowed, at any time during the event, to desert, be absent or leave the group without prior permission in writing of the organizer. 

4. Travel Documents. Participants are required to arrange for their own travel documents for the 
event and to ensure that all necessary travel documents and visas are valid 
and in place. 

5. Special Care. If participant is ill, pregnant, physically handicapped, or otherwise requires special care he or she is requested to state so upon application. We will respond to such special needs as far as possible and to a reasonable extent. In this case, any and all expenses required for special measures taken by the Organizer upon request of a participant shall be borne by the participant. In addition, depending on the local circumstances, situation of related organizations, etc., the participant may be required to be accompanied by a caretaker or escort or the Organizer may reject the application, in order to secure safe and smooth implementation of the festival. 

6. Compensations. If the Organizer incurs losses as a result of the participant’s negligence, error, or omission, the Organizer may seek compensation from the participant for such losses. 

7. Special Measures. The organizer may take necessary measures in the case when it is recognized that the participant needs protection due to disease, bodily injury, etc. during travel. In this case, the expenses required for the measures will be borne by the participant and the participant will be required to pay the expenses no later than the date designated by the Organizer through a method designated by Organizer. 

8. Insurance. The Organizer is not liable for the death, personal injury, loss of any kind or any liability whatsoever of any of the participants during the entirety of the Chopin Summer Chopin Piano Festival 2020 (the “event”). Participants must arrange their own health and travel insurance. The organizer will not be responsible for any costs or expenses incurred by any participants who wish to leave early, extend or vary the itinerary of the event.
9. Canlellation / Postponement. The organizer reserves the right alter and/or amend the festival at any stage if deemed necessary in its own opinion and entirely at its own discretion. Should the event be cancelled, postponed or delayed due to reasonable causes including but not limited to a force majeure event, the organizer shall not be liable to compensate the participants in any manner.
10. Social Media. Parts of the event may be photographed and videographed throughout the event for educational purposes and to promote future events; including but not limited to social media, printed media and websites. The participant poses no objection to that.
11. Privacy Policy. The Organizer and its partners use the participant’s provided personal information only to the extent necessary for arranging the event. Other than the above, for the purpose of providing with more satisfactory festival experience in the future, the participant’s personal information may be used to inform the participant of new festivals, events and experiences, request that the participant fill in a questionnaire, ask for the participant’s comments on an event / festival he/she participated, or compile statistical materials.
12. Payment Schedule and Refunds.

    Deposit payment valued at 10% of the selected total package price  will be paid upon the registration in our online system.

    Early Bird Registration on or before 1 March 2020 – USD 900
    Regular Registration on or before 1 April 2020 – USD 1,000
    Balance (total value of the selected package minus USD 1,000 registration fee) on or before 15 April 2020

    No refunds on deposit will be returned.
    If participant cancels his or her participation before 23 June 2020, 25% of the total amount will be returned.
